Terms and Conditions

Payment Requirements

​

Deposits: If you are not paying by credit card online, all deposits must be paid within seven (7) days of making a reservation. Failure to make the deposit within this time frame may result in the cancellation of your reservation.

Confirmation of Payment: Upon receiving your deposit, a receipt will be issued showing the payment made, the balance due, and the due date for final payment. The final payment deadline is listed on each trip. Trips without a final payment deadline will be due 30 days prior to departure.

Full Payment: Reservations made after the final payment deadline require full payment at the time of booking.

Cancellations & Changes

Cancellation Fees:
- $200 per person for trips over $4000
- $100 per person for trips priced between $2000–$3999
- $50 per person for trips priced between $500–$1999
- $20 per person for tours priced between $100–$499
- $10 per person for tours priced between $0–99

Deadlines & Refunds: Final payments are due by the date stated on the trip. If no date is stated, then the final payment is due 30 days prior to travel. No refunds will be provided for cancellations made after the final payment is due. Deadlines are printed on your invoice or can be obtained by contacting our office. Full penalties apply after the deadline.

Reservation Changes: A $25 per person fee applies for changes such as traveler name, departure city, or date changes, in addition to any fees from airlines, cruise companies, etc.

Written Cancellations: All cancellations must be submitted in writing.

Insurance

We highly recommend purchasing trip insurance to cover cancellations, medical emergencies, and luggage protection. Rockport Tours is not responsible for trip interruptions, cancellations, or lost luggage. If you purchase trip insurance, it may cover additional costs such as hotel nights or meals due to delays. Insurance premiums are non-refundable. You may use your own provider or download a brochure for our recommended insurance provider.

Reservation Policy

All tours require advance reservations, which are accepted on a first-come, first-served basis. Reservations can be made online, by phone, or by email. Early reservations are strongly recommended as space is limited.

Parking Disclaimer

Some of our trips begin with pickups at locations that have graciously allowed us to use their property for boarding. While these locations have permitted parking in the past—both for the day and for overnight travel—Rockport Tours does not own or manage these properties and is not a party to any parking arrangements made between the traveler and the property owner.

By choosing to leave a vehicle at a designated pickup location, the traveler understands and agrees that:
- Any parking arrangements are solely between the traveler and the property owner.
- Rockport Tours makes no guarantees regarding the availability, safety, or security of parking at these locations.
- Rockport Tours is not responsible for any damage, theft, towing, or injury occurring before, during, or after the tour while on the premises of these properties.

By signing up for a trip, each traveler acknowledges and voluntarily releases Rockport Tours from any and all liability or claims related to the parking or condition of their vehicle at any pickup location.

Travel Documents

Travelers are solely responsible for ensuring they have the required documentation for travel, including but not limited to passports, visas, and any other entry or exit requirements for the destinations they are visiting. Rockport Tours will not be held liable for any costs incurred due to a traveler’s failure to obtain proper documentation or being denied entry by immigration authorities.

Release from Liability

By booking a tour with Rockport Tours, travelers voluntarily release Rockport Tours, its agents, employees, and affiliates from any liability for any injuries, illnesses, damages, or losses arising from or connected to participation in any tour, whether caused by negligence or otherwise.

Rockport Tours acts solely as a booking agent and does not own, operate, manage, or control any third-party travel providers, including airlines, hotels, cruise lines, motorcoach companies, tour operators, or any other vendors providing services for your trip (“Vendors”). While we research and recommend Vendors based on their reputation and service history, we do not guarantee their performance and are not responsible for any issues, disruptions, or failures that may occur, including but not limited to:
- Delays, cancellations, or schedule changes
- Vendor bankruptcy or financial insolvency
- Accidents, injuries, or property loss
- Service disruptions or failure to meet expectations

Rockport Tours is not responsible for your personal safety or travel experience and cannot be held liable for any actions, omissions, or negligence of any Vendor. Travelers are responsible for reviewing Vendor policies, ensuring they are comfortable with the trip arrangements, and addressing any concerns directly with the Vendor.

Medical Disclaimer

Rockport Tours employees are not medically trained in any capacity, including CPR or first aid.
We have no knowledge of the medical training or emergency preparedness of employees of any Vendors or third-party providers.
Travelers are responsible for carrying their own medications, addressing personal medical needs, and taking necessary precautions based on their health conditions.

Assumption of Risk

By participating in any tour with Rockport Tours, travelers acknowledge and assume all inherent risks associated with travel, including but not limited to:
- Accidents, illnesses, and medical emergencies
- Transportation delays, missed connections, or cancellations
- Unpredictable weather, natural disasters, and force majeure events
- Crime, theft, or loss of personal property
- Changes to itineraries beyond our control
- Encounters with wildlife, flora, and fauna, including potential risks from insect bites, animal interactions, plant exposure, and other environmental hazards

Travelers voluntarily assume these risks and agree to travel at their own discretion. Rockport Tours strongly recommends obtaining travel insurance to mitigate these risks.

Force Majeure

Rockport Tours shall not be held responsible for any failure or delay in performance caused by acts beyond its reasonable control, including but not limited to natural disasters, weather events, war, terrorism, pandemics, labor strikes, or government-imposed travel restrictions. No refunds or compensation will be issued in such cases.

Behavior and Conduct Policy

Rockport Tours reserves the right to refuse service to any traveler whose behavior is disruptive, dangerous, illegal, or inappropriate. This includes, but is not limited to, harassment, intoxication, or failure to follow instructions from the tour leader or driver.

Passenger Conduct & Hygiene:
For the safety, health, and comfort of all passengers, Rockport Tours expects every traveler to maintain reasonable personal hygiene and conduct themselves in a manner that does not disrupt or negatively impact others. Rockport Tours reserves the right, at its sole discretion, to deny boarding, remove, or relocate any passenger whose behavior, odor, hygiene, or physical condition is disruptive, creates an offensive environment, or presents a risk to the comfort, health, or safety of fellow passengers or staff.


Whenever applicable, Rockport Tours will make reasonable efforts to provide accommodations as required by federal and state laws. Any passenger denied service under this provision will not be entitled to a refund for the affected portion of travel, and Rockport Tours assumes no responsibility for costs incurred by the traveler to make alternate arrangements.

No Smoking, Vaping, or Alcohol Policy:
For the comfort and safety of all passengers, smoking, vaping, or consuming alcohol is strictly prohibited on board all Rockport Tours motorcoaches at any time. Passengers who fail to comply with this policy may be denied boarding or removed from the trip without refund. Any costs associated with alternative transportation or accommodations due to removal under this clause will be the responsibility of the traveler.

No refunds will be issued for removals under this section.

Weapons Policy

For the safety and comfort of all travelers, no firearms, knives, or concealed weapons of any kind are permitted on any Rockport Tours motorcoach or during any portion of the trip, regardless of possession of a concealed carry permit or other authorization.

​

Any passenger found to be in possession of a weapon will be immediately removed from the trip at their own expense, with no refund provided for unused portions of the tour. This policy is strictly enforced to ensure a safe and secure environment for all travelers.

​

Minors and Legal Guardianship

Minors under the age of 18 must be accompanied by a parent or legal guardian. If a child is traveling with someone other than a legal guardian, notarized documentation must be provided authorizing the adult to make emergency decisions on the child's behalf.

Accessibility and Special Needs

Travelers must be able to walk short distances and climb a few steps independently unless otherwise stated. Rockport Tours must be notified in writing prior to booking if a traveler has mobility issues or requires accommodations. We will make reasonable efforts to accommodate such needs but cannot guarantee that all aspects of the tour will be accessible.

Lost and Found Policy

Rockport Tours is not responsible for any personal items left on motorcoaches, at hotels, or at activity locations. Items recovered will be held for 14 days. Travelers are responsible for shipping costs if they request items to be returned.

Photographs and Publicity Release

By participating in a Rockport Tours trip, travelers grant permission for the use of photographs or video taken during the tour for promotional purposes. Travelers who do not wish to be photographed must notify us in writing before the tour begins.

Payment Method Disclaimer

We accept credit cards, checks, and money orders. Returned checks are subject to a $35 fee. Credit card payments may include processing fees depending on the platform used. Please make checks payable to Rockport Tours.

Arbitration Clause

In the event of any dispute, claim, or controversy arising out of or relating to any tour or agreement with Rockport Tours, the parties agree to submit to binding arbitration. Arbitration will take place in the state of Texas. The costs of arbitration will be split evenly between both parties. By agreeing to arbitration, both parties waive the right to bring any claims in court.

Voluntary Participation

Participation in any tour or activity organized by Rockport Tours is entirely voluntary. By booking and participating in any tour, travelers agree that they are voluntarily undertaking such activities with full knowledge of the potential risks involved.

​

Knowing and Voluntary Execution

By booking a tour with Rockport Tours, travelers acknowledge that they have carefully read and understand these terms and conditions and execute this agreement knowingly and voluntarily. Travelers affirm that no oral representations or statements have been made to them that contradict these written terms.

​

Your Tour Includes

All tours include transportation, hotel taxes, tips for included meals, hotel maids, and when available and appropriate, a tour leader.

​

What is Not Included

Travelers are responsible for incidental charges such as checked luggage, room service, telephone calls, and meals unless specified. Gratuities for the tour leader and driver are not included. Please note: some air tickets may not be eligible for frequent flyer miles.

​

Tipping Guidelines

Tipping for your tour leader and motorcoach driver is optional but appreciated. A guideline of $4–$6 per day (per traveler) is suggested for each. For example, if you are traveling with your spouse for a day trip, then an appropriate tip would be $5 for the driver and $5 for the group leader from each of you, for a total of $20.
